Harbor & Pine wants its website to bring in more wholesale inquiries. We recommend a focused redesign of the five pages that drive inquiries, with a new inquiry form, to be live within eight weeks.
The current site was built in 2019. It loads slowly on phones, the wholesale form is hard to find, and the product pages do not show minimum order quantities, so buyers email with the same questions.
We will redesign the homepage, catalog, product, wholesale and contact pages, rebuild the inquiry form with the details your sales team asks for, and train your staff to update products themselves.
| Deliverable | What you receive |
|---|---|
| Page designs | Desktop and mobile layouts for five pages, two rounds of revisions |
| Built website | Pages built on your current platform, tested on major browsers |
| Training | One 90-minute recorded session for your team |
| Milestone | Target date |
|---|---|
| Discovery workshop and sitemap | Week 1 |
| Design approval | Week 4 |
| Build, testing and launch | Week 8 |
| Description | Qty | Unit price | Amount |
|---|---|---|---|
| Discovery and design | 1 | $4,200.00 | $4,200.00 |
| Development (hours) | 48 | $105.00 | $5,040.00 |
| Staff training session | 1 | $480.00 | $480.00 |
50% deposit to start, 50% at launch. Invoices are due within 15 days. Extra pages or features are quoted separately before any work begins.

What are the 5 steps of writing a business proposal?
Most winning proposals are written in the same five steps: understand the client, define the problem, propose the solution, price it, then make acceptance easy. The generator above is organized in that order.
- Understand the client. Before writing, confirm the client's goal, budget range, decision maker and deadline. A short discovery call usually gives you everything the summary needs.
- Define the problem. Describe the situation in the client's own words and say what it costs them today. When the client recognizes the problem, the solution sells itself.
- Propose a specific solution. Explain what you will do, list the deliverables and set a timeline with milestones. Specific beats impressive: name pages, hours, sessions or units.
- Price it clearly. Break the price into items the client can understand. The pricing table calculates line amounts, tax and the total automatically.
- Close with terms and a signature block. State payment terms, what is out of scope and how long the offer is valid, then add an acceptance block so the client can sign and return the proposal.
What is the proper format for a business proposal?
A standard business proposal follows this order: cover page, executive summary, problem or opportunity, proposed solution, deliverables, timeline, pricing, terms, information about your company and an acceptance section with signatures. Keep it short, use headings the client can scan and put the price where it is easy to find.
Length depends on the deal. A small service job can fit on two pages; the Simple option above keeps only the summary, solution, pricing, terms and acceptance. Larger projects need the full structure so each decision maker finds the part they care about.
What are 5 things all proposals should include?
Every proposal should include five things: a clear statement of the client's problem, your proposed solution, the specific deliverables, a price with what it covers, and the next step, such as signing and returning the acceptance block. Without any one of them, the client has to ask questions before saying yes.
- Problem
- Shows you understood the client.
- Solution
- Explains what you will do and why it fits.
- Deliverables
- Lists exactly what the client receives.
- Price
- Itemized, with taxes and the total.
- Next step
- A signature, a deposit or a kickoff date.
Each section explained
- Cover
- Title, client, your business, the date and how long the offer stays valid.
- Executive summary
- The whole proposal in a few sentences, written last and read first. Many decision makers read nothing else.
- Problem and solution
- The situation today and how you will change it. Focus on outcomes the client wants.
- Deliverables and timeline
- What will be delivered and when. Milestones help both sides track progress.
- Investment
- An itemized pricing table with quantities, unit prices, sales tax where it applies and the total.
- Terms
- Payment schedule, scope limits and how changes are handled. For a large engagement, a separate contract reviewed by an attorney is common; this template is not legal advice.
- About and acceptance
- Why your business is the right choice, followed by signature lines for both parties.

Frequently asked questions
Can ChatGPT write a business proposal?
An AI assistant can draft paragraphs such as a summary or a solution description, which can save time. It does not know your costs, your capacity or the client's real situation, so check every fact, figure and promise. Our generator gives you the structure and the pricing math; the judgment remains yours.
Is this business proposal template really free?
Yes. You can fill in the proposal, preview it and download it as a PDF or Word file at no cost, as many times as you like. There is no sign-up, no trial and no watermark, and the document is generated in your browser rather than on our servers.
How long should a business proposal be?
As long as the client needs to decide, and no longer. A simple service proposal often fits on one or two pages, while a complex project with several stakeholders may need five to ten. Lead with the executive summary and pricing, and move supporting detail toward the end.
What is the difference between a proposal and a quote?
A quote mainly states a price for defined work, while a proposal also explains the problem, your approach, deliverables and timeline in order to persuade the client. Proposals are common for custom or larger projects; quotes suit standard jobs. You can send a proposal first and a quote for later additions.
Is a signed business proposal a contract?
A proposal signed by both parties can become a binding agreement, depending on its terms and the law that applies. For significant projects, many businesses use a separate service contract. This template is general information, not legal advice, so consult a licensed attorney about important agreements.
